Library Branch Guidelines for Selection of Materials for the ASRS

ASIAN LIBRARY
A collection of books in Indic languages not currently taught at UBC (Tamil, Malyalam, Bengali, Gujarati, Kannada, Marathi, Rajasthani, Assamese, Nepali and Tibetan) is located on open shelves in the Main Stacks. The collection will be moved to either the ASRS or the IKBLC open stacks, after consultation with the Asian Library Advisory Committee. The Asian Library is overcrowded and will be moving materials to the ASRS in 2006. Guidelines for selection of materials for the ASRS will be formulated in consultation with the Asian Library Advisory Committee.

DAVID LAM LIBRARY
The Lam Library does not have an immediate space problem and will not send materials to the ASRS until 2006 or later, at which time guidelines will be formulated in consultation with the Faculty of Commerce's Research and Library Committee.

EDUCATION LIBRARY
The Education Library will not send materials to the ASRS until 2006. Guidelines will be formulated in consultation with the Education Library Advisory Committee.

FINE ARTS DIVISION
In early 2005, most Fine Arts materials will move to open shelves in the new north wing of The Irving K. Barber Learning Centre. Exceptions that will move to the ASRS will be decided in consultation with the Fine Arts Library Advisory Committee and the Arts Faculty Library Advisory Committee.

HUMANITIES & SOCIAL SCIENCES
When Koerner Library opened in 1997, it did not have enough space to house all the materials in humanities and social science, so many remained in Main Stacks, particularly pre 1978 imprints. In early 2005, most books in humanities and many in the social sciences will be moved to Koerner Library, thanks to additional space provided by the first installation on level 1 of compact shelving. For subject areas not moving to Koerner Library, decisions will be made in consultation with the Arts Faculty Library Advisory Committee as to whether to store the materials in the open stacks in The Irving K. Barber Learning Centre or in the ASRS. As Koerner Library becomes more crowded, guidelines will be established for the regular transfer of selected materials to the ASRS and to open shelving in The Irving K. Barber Learning Centre in consultation with the Arts Faculty Library Advisory Committee.

LAW LIBRARY
The Law Library will not send materials to the ASRS until 2006, at which time guidelines will be formulated in consultation with the Law Faculty.

LPC STORAGE
The environmental conditions in LPC Storage are better than in the storage areas of Main Stacks; however, retrieval of items is cumbersome. It has not yet been determined whether all items in LPC Storage will be moved to the ASRS. LPC Storage currently holds materials originally part of collections in Asian Library, Education Library, Fine Arts, Humanities and Social Sciences, MacMillan Library, and Science & Engineering.

MACMILLAN LIBRARY
The MacMillan Library is overcrowded and will be moving materials to the ASRS in 2006. Guidelines for selection of materials for the ASRS will be formulated in consultation with the Faculties of Agriculture and Forestry.

MATHEMATICS LIBRARY
The Mathematics Library is extremely overcrowded, a situation which is being addressed by the Library in consultation with the Mathematics Library Committee. Selected materials may have to be moved to the open shelves in The Irving K. Barber Learning Centre or to the ASRS.

MUSIC LIBRARY
The Music Library is overcrowded and will be moving materials to the ASRS in 2006. Guidelines for selection of materials for the ASRS will be formulated in consultation with the Music Library Advisory Committee. Due to ongoing space problems, the Music Library has sent lesser-used books, bound journals prior to 1980, and microforms to the Main Stacks. Decisions on whether these materials should be located in the ASRS or on the open shelves in The Irving K. Barber Learning Centre will be made in consultation with the Music Library Advisory Committee.

RARE BOOKS & SPECIAL COLLECTIONS
Materials will be housed in closed compact shelving in The Irving K. Barber Learning Centre and in the ASRS. Because of the fragility and rarity of these items, none of these collections have ever been housed on open, publicly accessible stacks.

SCIENCE & ENGINEERING
In 2005 Science & Engineering materials will move to open shelves in the new north wing of The Irving K. Barber Learning Centre or to the ASRS, according to guidelines developed in conjunction with the Science Library Advisory Committee.

UNIVERSITY ARCHIVES
Materials will be housed in closed compact shelving in The Irving K. Barber Learning Centre and in the ASRS.

WOODWARD LIBRARY & HOSPITAL LIBRARIES
In 2002, Woodward installed browsable compact shelving for journals on its lower level, solving its space problem for the time being. Woodward Library may send materials to the ASRS in 2006. Guidelines for the selection of these materials will be formulated in consultation with the Life Sciences Libraries Advisory Committees.
