Digital photograph policy and procedures

Introduction

Recognizing that our patrons often require copies of material that may not be photocopied due to conservation concerns, researchers may use a digital camera to photograph Rare Books and Special Collections or University Archives material in the division's reading room.

If the photographs are for research use only, please complete and sign the Photographic Reproduction Agreement form – Personal Use forms prior to photographing items from our collection.

Should you require the photographs for commercial use, please fill out and sign the Photographic Reproduction Agreement form – Commercial Use forms.



Procedures and guidelines

To photograph RBSC material:

  1. Place a strip of the paper provided (please ask the front desk attendant for these strips) in front of the item(s) to be copied so that the strip extends outside of the folder and/or book
  2. Request and fill out the appropriate Photographic Reproduction Agreement form
  3. A librarian or archivist will review your request.
  4. If your request is approved, please adhere to the following guidelines:
  5. The flash option on the camera must be turned off
  6. No additional lighting may be used to illuminate the material(s)
  7. Bound materials (e.g. books, journals etc) should be supported with the foam cradles provided in the reading room
  8. Manuscripts, maps and single sheets should be kept flat on the reading room tables
  9. A camera stand is available. Please ask a RBSC staff member for more information
