Requests for copying materials from Rare Books and Special Collections (RBSC) must be approved by one of our professional staff. Permission is dependent upon copyright provisions, restrictions that may have been placed on the material by the donors or under the Freedom of Information and Protection of Privacy Act, or the physical condition of the material. Copies ordered from RBSC are to be used only for personal or research purposes unless permission for publication or other commercial use is applied-for and granted. Requests to make photocopies from the British Columbia Directories, bound issues of The Ubyssey, or any material printed or published before 1900, will not be considered. All other requests will be considered on a case-by-case basis.
Most copying is done by divisional staff only. This is normally done as other staff duties allow - there is, however, an express service available for an additional fee (see below). In limited cases, and at the discretion of professional staff, patrons with their own copy-cards may do their own photocopying. Photographic reproduction and video tape duplication are done by the UBC Media Group and normally take five working days.
If the patron is not able to pick up the order in person, there is a minimum $3.00 mailing charge; RBSC reserves the right to charge additional mailing costs for large orders, or for orders sent outside Canada. Pre-payment for all copying services (cash or cheque) is required.

Recognising that patrons at times require photocopies of material as soon as possible, we have an "express" photocopy service. This provides patrons with photocopies within two hours of placing their order (copy machinery permitting).
Given the reality of staffing levels, to provide this service we charge double the normal fee for copying OR $5.00, whichever is more. This service does not compromise the usual turnaround time for regular photocopying orders.
In addition, we will accept requests for immediate copying of five copies or less (on the reading room photocopier) at the regular price, circumstances permitting. Desk staff will determine if immediate photocopying is possible on the basis of staffing levels at the desk and the number of patrons waiting for assistance. Patrons may only make one such request per day.
Any order in excess of five copies will be required to use the express service if a short turnaround time is required. If we are unable to complete an express order because of equipment breakdown, staff will notify the patron.
Copies from Microfiche
Theses and other items in microfiche format may be copied by patrons on the reading room's microfiche printer/reader. Only 8" x 11" copies are available. The price is $0.20/page.
Many theses, as well as some other material, are available at Koerner Library. Patrons may find it more convenient to use the microfiche readers at Koerner, which is open later than Rare Books and Special Collections.

Rare Books and Special Collections can provide digital copies of prints, negatives, and slides from its holdings. Images can be sent to patrons as e-mail attachments, or copied to diskette.

Reproductions of RBSC materials are subject to the use fees outlined below when approved for commercial use in publishing, broadcasting, video production, self copy, exhibits, product presentations, interior design, advertising, or similar commercial use, including for-profit work done by consultants or commercial design firms on behalf of government agencies or non-profit institutions. Fees are for one-time and non-exclusive use and are in addition to any reproduction costs. See the Agreement on Use Guidelines for Photographic Reproduction for more information.
