Update on University Archives Activities

Chris reminded Committee members that the "University Archives" and "Records Retention" Policies had been approved at the March Board of Governors meeting. The approval of these policies represents another significant milestone in the realization of an ambitious agenda established by the Advisory Committee.

The Historic photograph digitization project continues and there are now approximately 8,500 photos and their associated bibliographic records available on WWW. Erwin and Leslie attended a joint meeting of the Archives Association of British Columbia and the Northwest Archivists where they discussed and demonstrated the project. The Archives has received a $7,500 grant from the Canadian Council of Archives to help finance the continuation of this project in this summer or early fall.

There was a brief discussion about the Advisory Committee's recommendation to change the reporting relationship of the University Archives within the Library. The Committee reaffirmed its strong support of this recommendation. Chris explained that the Committee recommendation had gone to Ruth and was now being considered by the Library Administration. Terry suggested that perhaps Chris could use e-mail to keep the Committee updated on the progress of this proposal.

Chris reported on the first meeting of the University Records Disposition Committee.

As David Fraser of Computing Services was generally unable to make the Advisory Committee meetings he asked that he be replaced by Bob Heavenor who attended this meeting.

Development of Vital Records Program for University

Erwin provided a brief presentation based on the short reports he prepared on these subjects. The Committee discussed the reports. The Committee felt that both of these iniatives were important to include as part of a comprehensive institutional records management program and they should be pursued as time and resources permit.

Discussion of future requirements for the University Archives

As part of the planning process for the next stage of development of the University Archives, Chris circulated to Committee members a brief proposal to add two new positions to the Archives' staff. The Committee enthusiastically endorsed the proposal and suggested that the proposed level of staffing would be appropriate to deliver archival and records management services to the University. This issue will now be forwarded to Ruth for consideration.

Other Business

Chris pointed out that this would be Bill Webber's last meeting in his current administrative capacity before stepping down this summer. On behalf of Ruth and the Committee, he thanked Bill for his support and contributions to the University Archives and to the Advisory Committee both in his currently position and his former role as Dean of Medicine.
