Appointment of Committee Chair

After welcoming committee members to the first meeting of the 1992/93 session, Ruth announced that she had asked Terry Eastwood to serve as chair of the committee. The committee endorsed this decision.

Review Activities of the University Archives

University Archivist Chris Hives reviewed the terms of reference and functions of the Advisory Committee. He then outlined his activities since the last meeting of the Committee. In addition to his regular activities he also:

Records Survey - Phase I

Erwin Wodarczak made a presentation on the UBC Records Survey.

Goals for the University Archives and Records Management Advisory Committee for 1992/93

Chris talked briefly about the possible goals for the Committee for the upcoming year. The most pressing priority is to find funding for the continuation of the University Records Survey project that will be approximately 60% completed at the end of November. Projections indicate that data from all 200+ record creating units on campus would be completed by the end of February 1993 and would require funds in the amount of $10,600. It is hoped that the funds required could be justified on the grounds that the University will be required under FOI legislation to complete an inventory of all records on campus. In that the information now being collected would satisfy those requirements it would be an extremely cost-effective project to continue at this point. A general discussion then ensued.

Other Business

Chris will provide Committee members with copies of the "Report and Recommendations" (revised February 1992) document. In addition he will circulate information he has collected about Freedom of Information. Ruth suggested that she and Chris should meet with Albert McClean to discuss the University's plans for Freedom of Information legislation.
